Please take the time to read the information below as it explains how we have arranged our Pilates Matclasses in 2022, the new booking system, bsport, and the Terms and Conditons.
The Ts & Cs are designed to make our classes function as smoothly as possible for you and help us teach to a high standard.
Types of Pilates Mat Classes
- Twelve-week progressively taught classes: Most of our classes are taught this way and the majority are ‘hybrid’ and have both in-person and online attendance.
- ‘Flexible’ Classes – Monday Wake-Up & Stretch Pilates 7.45am [Online Only], Friday General Pilates 12.30pm [Hybrid] and the new Thursday 6-7pm Class [Online Only] can be booked and attended in a flexible way, as one-offs or buy blocks.
- Small Group Beginners Pilates [In-Person Only] at the Eric Liddell Centre & Central Studio, are booked in two six-week blocks. Block 1: Monday 10th January to Monday 21st February (no class on Monday 14th February as this is school half-term) Block 2 Monday 28th February to Monday 4th April.
- Small Group, In-Person Only Classes: We have two small group, in-person-only classes for people who want the teacher’s focus to be entirely in the room and get more personal attention: Gill’s new Monday Lunchtime General class at 12.30pm & Thursday Intermediate Pilates at 5.45-6.45pm with Valentina Pintus.
- One-Off Sessions: Saturdays & Bea’s Friday Neck & Shoulder Care Sessions are booked as one-off classes.
- Online-Only Classes: There are three online-only classes, Monday Wake-Up & Stretch, Thursdays Flexible Class and Bea’s Friday Neck & Shoulder Care Class.
- Mat Class Bookings & Payments: once booked, all Pilates mat classes & payments for them are non-changeable and non-refundable in all circumstances, including illness. If a class is cancelled by us, you will be offered an alternative or refunded. If Edinburgh, Scotland or the UK is put under Covid-reducing restrictions, which mean we are no longer permitted to teach group classes face-to-face, all of the in-person classes will be taken online. You will not be offered a refund unless the whole class is cancelled by us. Thank you for understanding that this keeps us solvent and able to continue teaching.
- Zoom Links for Online Classes: now you are not sent the Zoom link in your booking confirmation. All Zoom links will be sent to the email you have provided us with in your bsport account, fifteen minutes before the start of the class. Always remember to check your Spam / Junk box. The link is therefore now sent each week, so you do not have to worry about saving the link for the term.
- Waiting Lists for Full Classes: There is now a waiting list you can put yourself on for classes which are full. The system does NOT automatically take money from you and enter you in to the class if a space becomes available. It is very clever and will notify whoever is first on the waiting-list that a space is available. It will give you 2 hours to respond to two auto emails in which time you can book in to the class either using the credit you have or buying the right kind of pass you need to attend. If you do not reply within the 2 hours, it then sends the info to the next person on the list so they can book. This is why we set a minimum of 24 hours for you to cancel your space in a class, (in those bookings which allow cancellations) so someone else can use an unused space and ‘make-up’ class.
- Cancellation of Classes with Too Few People: If there are 3 or fewer people booked in to a class 12 hours in advance of it, the class is now automatically cancelled and you will be sent notification. This is why we ask you to before 24 hours in advance to join some classes, so we know numbers and do not have to cancel unnecessarily.
- Swapping from In-Person to Online Attendance and Vice Versa. If you are attending a hybrid class, you can change from the way you attend one week by booking yourself out of your class 24 hours minimum in advance and rebooking the other way to attend, subject to availability. If you are changing from in-person to online, you will then be automatically sent the Zoom link 15 minutes before the class starts.
- Twelve-Week Term of Standard Mat Classes: the majority of Bea Alexander Pilates mat classes are taught in ‘terms’. We do this to maintain progressive and genuine teaching in classes: we get to know you all and any injuries or conditions you have, can give you adaptions and personal feedback. The consistency of the same weekly classes means you get the most out of the Pilates technique, we can create a sense of class community and lessen any chances of injury.
- The new booking system means you buy a pass for 12-classes for the 12-week term classes. We ask you to book every week for the same class so we can maintain our standards. [The system will let you choose other classes also in the 12-week term category but we ask you to only do this in the circumstances below]
- How to Book All The Classes in a Term: In the bsport calender scroll to the first week of term, Monday 10th to 14th January. click ‘Book’ on the first class of the 12-week term you wish to attend:
On the left you can see examples of how the classes appear. A page will appear that has the class on it with a plus symbol underneath thaty says ‘Add sessions’. [See the image below]
Click on’ + Add sessions’ and a list of the dates for the class will appear, but not quite all 12 weeks, you have to then click on ‘see more’ . The click ‘select all’ which is at the top left hand corner of that list.
This will book you in for all of the twelve classes and you buy a 12-week term pass.
‘Making-Up’ Classes in the 12-Week Term Category: If you need to be absent from a class, you can now cancel the class yourself up to 24 hours in advance on your bsport account without losing the credit. If you cancel at 23 hours or less, you will be charged for the class. This does mean you need to be organised if you are feeling unwell and cancel your class in time.
- You can use the credit to ‘make-up’ a class in a different 12-week class during the term: Monday 10th Janaury to Friday 8th April ( no classes the week of half-term 14-18th February)
- You need to book yourself in to a class at least 23 hours before it starts so we know numbers in advance. You can choose any other class which is part of the 12-week term category, availability allowing. (You cannot use the one-off classes, or six-week block classes to ‘make-up’ in.)
- You theoretically have an unlimited ability to cancel and re-book your 12-week term classes with other classes in the same category, within the time parameters. Practically, please do keep your use of this to a minimum, or we will lose the sense of community, progressive teachind and consistency which we are very keen to hold on to, and may end up having to end the ‘make-up’ class facility if it is over-used. Thank you.
- Six-Week Small Group Beginners Classes Online Only: We have two of these classes a week, and we have two six-week blocks of each within the 12-week term: Monday 10th January to Friday 8th April (no classes 14-18th February as half term) Classes are Monday 5.30-6.30pm at Central Studio and Monday 7.30-8.30pm at Eric Liddell Centre. Please book yourself in for all six of the classes in the block. If you need to be absent from a class, you can cancel that enrolment up to 24 hours in advance. The only class you can then use the credit in is the other snall group beginners class which would mean two classes in different locations in an evening – but it is an opportunity! [this is so we can automate making-up classes in a way the booking system can handle it, not because we are being purposefully restrictive to you – apologies]
- Twelve-Week Term Classes you cannot make up for: Monday lunchtime Pilates small group classs with Gill at Central & Thursday 5.45pm Intermediate Pilates small group class with Valentina. This is because they are specialised small classes with no online attendance, so your teacher is focusing on you in class. They are the only classes in their booking type so there is no equivalent we can set up auto make-up for. We are sorry and hope you understand most organisations do not have a make-up class facility at all and we do our best to accommodate making up as widely as we can. These classes are comparitively ‘cheap’ compared to the ‘standard’ classes, because we very much limit the numbers in the in-person only classes, for Covid safety and focused, personal attention.
- The ‘Flexible’ Classes: We have three weekly classes which are ‘flexible’: Monday Pilates Wake-Up & Stretch 7.45-8.45am Online Only; Thursday 6-7pm Class Online Only, which cycles three classes ‘Pilates: Hip & Leg Strengthening’, ‘Pilates with the Foam Roller’, & ‘Pilates Stretch & Myofascial Release’.; Friday General Pilates 12.30-1.30pm Online & In-Person. You can buy one-off class(es) and it covers any of these classes. You can buy a six-class pass or a 12-class pass and use it in any of theses classes.
- Changing Flexible Classes : If you decide you cannot attend a flexible class, you can cancel it up to 24 hours in advance in your bsport account and use this credit to book a different class in the ‘flexible’ category. This means if you do book all twelve of the Friday lunchtime classes, you can cancel one and re-book in to, say, a Thursday Pilates with the Foam Roller. If you forget to book yourself out after 24 hours, your credit will be used on the class [this is fair for the teachers, so they get paid. Thank you for your understanding.]
- One-Off Friday Evening Neck & Shoulder Class & Saturday Sessions cannot be cancelled or changed, or given to another person, once booked. This applies in all circumstances including illness. You can book up to two hours in advance of the class, but we recommend booking a minimum of 24 hours before, as classes are now cancelled automatically 22 hours in advance if we have 3 or fewer people; you might come to book and find the class has been cancelled due to lack of support.
- The Festive Classes 2021-2022: are one-off classes booked individually. Once booked these are non-returnable and non-changeable, and cannot be passed to another person. This applies in all circumstances, including illness. Thank you for understanding. They can be booked up to two hours before the class, but remember classes are now cancelled automatically 22 hours in advance if we have 3 or fewer people, so book as soon as you know you want to attend.
- If you are Late for Your Online Class, we do our best to notice people appearing in the waiting room and let latecomers. We cannot guarantee this will happen, especially if you are more than ten minutes late. We have to concentrate hard on managing people in the room and people online and do not always glance at the waiting room. We cannot give make-up classes for lateness or if your wifi is misbehaving and you keep losing connection.
- WiFi Problems: It we have wifi problems lasting more than fifteen minutes we will give you credit for another class. We will know they are our problems because we will not have any of you being able to log in. If it is your wifi that is causing problems, we will try to let you back in a couple of times, but it it gets more than this, it can prove disruptive to the whole class. I am sorry we cannot give credit to you for missing a class because of your own wifi issues.
- In the eventuality of a lockdown: we will take everyone online again, including the in-person only classes. You will not be offered a refund unless we cancel the whole class.
- Covid Protocol Documents. We produced Covid protocol documents based on risk assessments carried out on our venues and the guidance of the Scottish Government for our industry. You can see the documents here.
We continue to follow these protocols and if you are coming in to venues for class, you will be asked to sign one at your first class. If you do not follow the protocols, the teachers reserve the right to ask you to leave or not attend the venues.
By booking a Bea Alexander Pilates mat class, you are agreeing to these terms and conditions. They are also to be found on the bsport booking site and by booking online you are contracted to abide by these Tcs and Cs.
We appreciate your support with these terms and conditions which make running our classes possible especially during this pandemic. Thank you.
